Budget vs actual: from variance to action

Explain the business driver behind a difference instead of restating the percentage.

Make the comparison fair

Use the same period, scope, accounting treatment and units. Separate approved plan changes from performance differences. If activity differs substantially, a flexible budget can help distinguish volume effects from spending or efficiency effects.

Set a sign convention

Actual minus budget is a mathematical variance; whether it is favourable depends on the line. Higher revenue and higher cost have different implications. Label the economic direction rather than relying on a plus sign or colour.

Quantify without double counting

Separate price, volume, mix and cost drivers using one documented bridge. Check that the driver totals reconcile to the overall movement. Do not assign the same effect to more than one explanation.

Write useful commentary

State the fact, evidence-supported driver, financial impact, recommended action, owner and review date. If the cause is unconfirmed, record the investigation needed instead of presenting a hypothesis as fact.
